Meetings and async work
Use the lightest form of collaboration that can create a clear, dependable outcome. A written update is often better for information sharing; a meeting is useful when people need to decide, create, resolve ambiguity, or handle a sensitive conversation together.

Before scheduling a meeting
- Confirm that an asynchronous exchange cannot reasonably produce the outcome.
- State the purpose, agenda, preparation, and decision required.
- Invite active contributors as required and everyone else as optional.
- Share material early enough for participants to prepare.
During and after
Start with the intended outcome. Make space for relevant perspectives, protect the agenda, and end with decisions, owners, and next actions. Record the result where affected people can find it.
Availability and messaging
Keep your availability status useful, especially during focused work or time away. Messaging tools should not control the workday. Check them at deliberate intervals unless a delivery or incident requires a faster response, and agree on that faster cadence with the people involved.
